Embrace the Eisenhower Matrix

Imagine a tic-tac-toe board of productivity. Welcome to the world of the Eisenhower Matrix! This strategy divides your tasks into four quadrants

  1. urgent-important

  2. not urgent-important

  3. urgent-not important

  4. not urgent-not important.

By sorting your tasks like you're setting up the ultimate game board, you'll have a rock-solid game plan to help you take on the world—one task at a time.

  1. In the urgent-important quadrant, you've got tasks that are hotter than a jalapeno. These tasks need your immediate attention and should be tackled before anything else.

  2. In the not-urgent-important quadrant, you'll find tasks that may not have the sizzle factor of the urgent ones but are still pretty darn essential. Schedule these tasks for later but don't let them slip your mind.

  3. Now, onto the urgent-not-important quadrant, where you'll have tasks that need to be done quickly but don't contribute much to your long-term goals. Delegate or streamline these tasks as much as possible.

  4. And finally, in the not urgent-not important quadrant, we have the low-key, no-sweat tasks that can be scheduled for later or eliminated.

Take a minute to reflect on each task you're facing.

  • Is it specific enough?

  • Can you measure the progress?

  • Is it achievable, given your resources and time?

  • Is it relevant to your long-term goals?

  • And finally, have you set a time-bound deadline?

Sara is a talented graphic designer working on rebranding a client's company. To tackle this creative project efficiently, she decides to use the SMART system to identify some project goals to help her prioritize individual tasks.

Specific

Measurable

Achievable

Sara considers her available resources, such as time, budget, and design tools, to ensure her goals are attainable. For instance, she allocates a realistic number of hours to each task and takes advantage of task management software to track progress and mark achievements as they occur.


Relevant

Every morning, identify the three most important tasks that will make the biggest impact on your day.

Jot them down on a sticky note, scribble them on a whiteboard, or even make them your phone's wallpaper—whatever works for you. These three tasks can even be placed in the urgent-important-quadrant of the Eisenhower Matrix method mentioned earlier. It's not easy to have your neatly stacked priorities toppled over in the middle of the day by a rogue urgent task.

Remind yourself that you're in control though. Next, reassess your priorities by comparing the urgency and importance of the new task to your existing ones. If it's an all-hands-on-deck situation, go ahead and bump it up the list. Be sure to communicate effectively with anyone involved with tasks that may need to get pushed. Managing expectations with those involved in the tasks you must bump will save everyone a lot of stress in the long run. If the new incoming task request is less pressing, find a spot for it in your existing lineup and communicate accordingly.

Remember, you're the captain of your productivity ship. You've got the skills to navigate these choppy waters, and with some quick thinking and prioritization, you'll sail smoothly through any unexpected storms.


 

Delegate like a boss

Mastering the art of delegation is an essential skill for creatives striving for a more efficient and balanced work life. By effectively delegating tasks, you not only maximize your productivity but also nurture the growth and development of your team members.
